Australia Business Visitor Activities: Meetings, Trade Fairs and On-Site Services

An Australian business visit can cover specified enquiries, contract discussions and conference or trade-fair participation. It does not automatically permit delivering services to an Australian business or selling directly to the public. Describe what you will actually do before choosing the appropriate visa and committing to a client's timetable.

Put the activity in the itinerary

A list of cities and travel dates is not enough to assess the purpose. Record whom you will meet, the discussion topics, whether you will be paid, what you will deliver and whether you will deal with local customers. A meeting about a supply agreement is different from spending the week operating the customer's business.

Mark possible additions as well as confirmed appointments. If a host may ask for equipment installation, staff training or order processing, raise those tasks before departure. Calling the whole trip a business visit does not resolve the status of every activity added to it.

Distinguish negotiations from providing the service

Home Affairs' business-visitor material describes general commercial and employment enquiries, examining and negotiating contracts, and participation in conferences or trade fairs under the stated conditions. Organiser-paid participation is excluded from the relevant conference or exhibition permission.

The same official material excludes working for or providing services to an Australian business or organisation, and direct sales of goods or services to the public. Do not assume the restriction disappears because the trip is short or salary continues to be paid overseas. Assess the actual work rather than relying on the location of payment.

An agreement reached during a meeting can create a later delivery obligation. Before accepting that obligation, decide who will carry it out, where and under what permission. The customer's willingness to provide site access is not an immigration authorisation for the visiting supplier.

Clarify the role at an exhibition

A visitor meeting potential distributors may have a different role from someone serving customers, accepting retail orders or providing a paid demonstration. Give the adviser the proposed display, audience, equipment and expected deliverables. The label trade fair should not be used to treat every task on the premises as permitted.

Where the activity requires another arrangement, assess it before the company advertises delivery dates. A general article cannot decide every demonstration or commercial engagement from its name alone. Clear facts allow a more useful review than a request to approve a trip described only as networking.

Keep company and invitation records consistent

Prepare a concise description of the overseas business, your position, the Australian contact, meeting schedule and funding. An invitation describing on-site technical services should not accompany an application describing meetings only without the difference being resolved. Correct the actual plan or seek advice on the appropriate route rather than selecting whichever document looks more favourable.

Record who pays for flights, accommodation and other costs. Do not describe proposed hospitality as confirmed funding. Retain later correspondence when meetings change, because both the purpose and the practical itinerary may need review.

Use the current application process for the individual

Check the traveller's actual passport, existing visas and eligibility. Another nationality's electronic travel option should not be copied without verification. Once permission is granted, read its entry, stay and activity conditions; multiple entries do not amount to unrestricted ongoing business operations.

The official Form 1415 explains that its paper application is restricted to specified circumstances, including written notification from the department. Finding the PDF does not establish that paper submission is available to you. Check the applicable current process and charges rather than copying an old form's amounts.

Before travelling, agree internally that new installation, training, retail or operational tasks must be reassessed before acceptance. After the visit, keep a record of the genuine meetings and outcomes. These records can support future planning, but a successful commercial visit does not itself establish future work permission or permanent residence eligibility.
