Belgium Highly Qualified Single-Permit Renewal: Payroll Records, Regional Timing and Valid Residence

Belgium highly qualified renewal requires the actual work, remuneration paid and current immigration position to be reviewed. Resubmitting the original offer does not answer every renewal requirement. Flanders specifies a submission window for the relevant single permit of no more than six months and at least two months before expiry; that regional instruction should not be advertised as one universal Belgian deadline.

Start with the permit actually held

Identify the work and residence documents, employer, competent region and expiry dates. A single permit, short-term work admission and EU Blue Card do not have identical procedures merely because each can permit work. Record the real category instead of describing the person only as holding a Belgian card.

Create a timeline of approval, starting work, contract changes and current expiry. An employer extending a contract does not automatically extend residence. If the person changed employer, location or work structure, retain those facts and assess the appropriate procedure rather than concealing a change to reuse the first file.

Apply the Flemish timing to the correct case

For the fixed-term single permit exceeding 90 days, the Flemish page calls for the renewal file through Working in Belgium at least two months and at most six months before expiry. Prepare evidence early enough to use that window without assuming that every other region follows the same instructions.

Its guidance also discusses late filing while the Belgian residence document is still valid and the conditions for an Annex 49 following admissibility. A booking, payment or file sent to an adviser is not that formal status. If dates are close, assess the actual valid document and official receipt rather than promising automatic continuation of work and residence.

Show remuneration actually paid

The Flemish renewal list includes the passport, Belgian residence permission, health cover, contract and payroll or the relevant individual account. Its FAQ discusses a full year's payslips and accepting at least the previous six months in the stated assessment. Keep the actual period required for the case clear.

Payroll should connect to the agreed salary and applicable threshold, with genuine explanations for differences. Do not turn an expected bonus or reimbursement into fixed salary to make the file appear compliant. A contract figure and a bank credit can support different facts; neither should be altered to conceal the payment history.

Keep the other regional lists separate

The Brussels renewal list describes payroll for the expiring authorisation period, an individual account after a complete calendar year, current-status and contract evidence and other applicable items. A previous authorisation from another region and posting documents may also be relevant under its listed conditions.

Wallonia's table distinguishes first applications from renewal and calls for actual payroll or the individual remuneration account and relevant posting records. Where the authorisation exceeds 12 months, its guidance also requires the previous year's individual accounts at each anniversary of issue. Preserve those records from the beginning rather than discovering the reporting duty only near expiry.

Review the year, contract and posting evidence

Regional salary references can change. Wallonia publishes 2026 and 2027 tables separately, while Flanders and Brussels state their own bases and recognised components. Check the applicable year and category; do not assume an original salary remains adequate throughout every later permission.

For posting, review the actual assignment, social-security evidence and required declarations, including the relevant Limosa records. Private medical cover, social-security treatment and work admission serve different purposes. A foreign contribution receipt does not automatically settle each obligation.

Finally, keep any government request, response and formal decision with the current version of the file. Review family documents and future travel individually. Renewal preparation can support a coherent application, but it should not be reported as completed permission until the actual authorities' outcome and documents establish that stage.
